It is our intention to remove the docks, floats and boats out of the water earlier than normal. We would like to ask all sailors to remove their boats from the area in the lower grove near the fence this [...]]]></description>

As we recognize we are earlier this year we will permit boats to be stored on the porch so they will not have to be moved twice. Boats may be moved to the porch ONLY at<br />

<li>Minutes â€“Read minutes from 4/6. Accepted by all. Pat agreed that she can try to get costumes for History day from Darien Theatre group. Sophia Costumes in Greenwich was also mentioned as a possible source.</li>
<li>Members of Committee â€“It was noted by Ernie that the History membership as dwindled (David has shown lack of interest, Ruth Nobleâ€™s recent passing). When asked, Caroline confirmed that the board likes to have a board member represented. She canâ€™t always make it, and due to Ruthâ€™s passing we no longer have a steady board rep. All agreed to ask Cam if he would be the board representative on our committee as he seems to have a strong interest in RPA history.</li>
<li>Condon Picture â€“ Caroline mentioned that she wants to get the oversized picture donated by Nancy Condon cleaned up and framed.</li>
<li>New Lisa Grant acquisitions:
<ol>
<li>Lisa presented and discussed her new personal acquisitions of a Belle Island Photo and information of the Designer Townsend J. Smith, from New Jersey. She found on Ebay.Â  The man who was selling these items acquired them from his Mother who was the house cleaner for Mr Smith. When he died, she acquired quite a lot of his pictures and designs. It is his belief that Mystic Museum has Towsend Smith plans. Lisa also had a steamboat book from Monmouth County that showed weekly pictures of the building of the Belle Island; pictures from Townsend Smith.</li>
<li>It was discussed that we should frame the Belle Island Photo as well. It is from a New York perspective and shows a â€˜Roton Pointâ€™ banner on it.</li>
</ol>

<li>The Book:
<ol>
<li>Roton Point Book Flyer â€“ As part of the Marketing of the book, Arcadia sent Lisa flyers of the front cover of the book for us to distribute to drum up interest in the book.</li>
<li>It was decided that we should put something in the RP newsletter about purchasing the book thru Roton Point, as the members would get a better price than if they bought on their own thru Amazon or Arcadia directly. Unfortunately, the website is being restructured and we currently are unable to post anything at this time about the book sales.</li>
<li>Caroline clarified that people who are not members of Roton Point could not buy the books here. Although, Ernie pointed out that 2 non members (former members) did buy the video through the office.</li>
<li>Caroline also explained that the board agreed to purchase 400 books for the purpose of selling to RP members, to sell to History Committee members and for the History Committee to bring to places to sell. Â The club is buying at a pre sale rate of 57% off retail. We are contractually obligated to sell the book outside Roton Point for retail price of $21.99. Here at the club, we can sell for whatever we want. The board has decided to sell the book for $15 to the general membership. Roton Pointâ€™s cost is about $9.50 per book ($21.99 x .43% = $9.46). Caroline didnâ€™t think anyone would object if the History Committee members that worked on the book (Lisa, Mary Ellen, Pat and Cam) purchased books at cost.</li>
<li>Fundraising discussion â€“ It was mentioned that we would like to bring copies of the books to other places where some of us have connections to sell (such as Rowayton Historical Society or Norwalk Historical Society), and give those groups a percentage of the profit for allowing us to display our books. Caroline felt that there shouldnâ€™t be fundraising anywhere else or for any other association (even though they may have helped with the information gathering of the book) other than Roton Point.</li>
<li>Authorship discussion â€“ Per Carolineâ€™s interpretation of the deal with Arcadia, the author of the book is Roton Point, not the members of the History Committee. The History Committee reports to the Board of Roton Point and essentially the History Committee just gathered the information for the book.Â  However, Lisa shared that Arcadia considers the Authors to be Lisa, Mary Ellen, Pat &amp; Cam â€“ the people that they worked with during the production of the book.Â  Caroline surmised that perhaps Arcadia doesnâ€™t understand the structure of the organization.</li>
<li>Royalty Income from sales of book â€“ It was with disappointment that the History committee learned that the proceeds from the book would go to the general fund of the club and not to the History Committee Budget line. It is expected that Arcadia will submit some type of regular reporting of sales and royalties due Roton Point, and that the History Committee would be privy to these reports.</li>
<li>Book events and book signings â€“Apparently, Arcadia expects the authors to appear at local bookstore or library events to help promote the book. Caroline&#8217;s interpretation is that there wouldn&#8217;t be any book signings with the four of us as &#8220;authors&#8221;.</li>
</ol>

<li>History Day Photographer
<ol>
<li>Lisa asked Ernie for his contact information as she would like to work with him about Sleeves for the pictures that are similar to the old tintype sleeves.</li>
<li>Lisa painted backdrop. Either Photographer can use or we can have it set up for others to use. Looking for rustic old bench similar to the one in the tintype of the two ladies that Lisa has.</li>
</ol>
</li>
<li>Invite for History Day â€“ Decided will not be postcard this year, but rather a tintype fold out type thing. Lisa to work on with Ernie after she talks to the Photographer about the sleeves/cards.</li>
<li>Postcard Station â€“ Agreed that we will have a postcard station this year where people could buy a postcard and mail, as they used to do here.

<li>Can we have postcards made with stamp??? Perhaps a stamp of Roton Point?</li>

<p>RPA Vice President Caroline Robinson called the meeting to order in the Roton Point Hotel at 2:10 PM.</p>

<p>General Manager Ernie LaRocca and Secretary Cam Hutchins certified the mailing of notice to the membership.</p>

<p><strong>3.Â Â Â Â Â Â Â Â  Appointment of Parliamentarian</strong></p>
<p>Charlie Janson and Ellen Campbell were appointed Parliamentarians.</p>
<p>&nbsp;</p>
<p><strong>4.Â Â Â Â Â Â Â Â  Approval of Minutes</strong></p>
<p>The minutes of the previous general membership meeting of 10/01/06 were distributed at the meeting. A motion was made by Alan Keyworth to approve the minutes, many seconded the motion, and the minutes were approved.</p>
<p>&nbsp;</p>
<p><strong>5</strong>. Â Â Â Â Â Â Â  <strong>Election Results</strong></p>
<p>The Secretary reported the results of the 2007 board election. There were 141 ballots received, representing approximately 23% of unit owners. Elected were Cam Hutchins, Charlie Janson, Jeff Konspore, Kari Murray, and John Olsen, with Joe Dixon as first alternate.</p>
<p>&nbsp;</p>
<p>They join fellow board members Adam Allam, Ellen Campbell, Bob Eydt, Ruth Noble, Peter Nolin, John Pullan, Caroline Robinson, and Michael Smith.</p>
<p>&nbsp;</p>
<p>Caroline Robinson congratulated the new board members, and offered a special thanks to retiring board members Bob Sava, Melissa Thomson, and Dave Wheeler.</p>
<p>&nbsp;</p>
<p>A member asked if, for next yearâ€™s election, candidate profile/statements could be limited to 1 page each, since it was sometimes difficult to determine which information was attached to which candidate. General Manager Ernie LaRocca agreed.</p>

<li><strong>6. </strong><strong>Committee Reports for the 2007 season</strong></li>
</ol>
<p>&nbsp;</p>
<p><strong>Finance:</strong></p>
<p>Mike Smith reported. The 2007 statements are on track, on or close to the budget. The 2008 budget process is underway and the membership budget meeting will be held in early December.</p>
<p>&nbsp;</p>
<p><strong>History:</strong></p>
<p>Nancy Borge reported. The history committee had a good summer, culminating in the annual â€œhistory dayâ€ that featured several interesting historical Roton Point artifacts. The committee is always looking for more historical items and is looking into the possibility of producing a book about Roton Point history. The committee meets the first Wednesday of each month at 7 Pm in the Hotel boardroom, and new members are always welcome.</p>
<p>&nbsp;</p>
<p><strong>Long Range Planning: </strong></p>
<p>John Pullan reported. The committee has been working on the budget for the coming year and is looking to establish a priority for upcoming maintenance items, including (1) extending the grove patio to connect with the steps down to the beach, (2) acquiring and transitioning to club software, (3) addressing drainage issues, (4) reconfiguring the gate and entrance, (5) adding permanent railing along the new ramp to the beach from the grove, and (6) replacing the snack bar refrigerators.</p>
<p>&nbsp;</p>
<p><strong>Membership: </strong></p>
<p>Caroline Robinson reported. The next meeting will be held on the first Monday in November. The committee will be working on the club rulebook over the winter.</p>
<p>&nbsp;</p>
<p><strong>Newsletter/Web Site: </strong></p>
<p>Ernie LaRocca and Cam Hutchins reported. The newsletter is published between 4-5 times a year, with one issue, December, left for 2007. The club web site, at www.rotonpoint.org, is updated daily and is usually the best place for members to find out current events at Roton, including pool closings, and other timely announcements. The web site also includes a listing of club contacts and a password-protected members-only section. We are currently looking at new improvements for the web site for 2008.</p>
<h4><strong>Operations: </strong></h4>
<p>Alan Keyworth reported and described the process through which the Operations Committee works. He also detailed some of the accomplishments from the past year, including (1) landscaping cleanup in the â€œback 40â€ behind the tennis courts, (2) landscaping and drainage improvements, (3) improved drainage around the pools and the tennis courts, (4) steps from parking and tennis patio, (5) new fence separating hotel from parking lot, (6) new picnic tables, (7) new steps/ramp to grove from beach, (8) bathhouse floor painting, (9) new swim floats and docks.</p>
<p>&nbsp;</p>
<h6><strong>Sailing:</strong></h6>
<h2>Mike Smith reported. The sailing season has now ended, capped by a very good Fall Regatta. The end-of-year sailing awards dinner will be held on October 27<sup>th</sup>, and all Roton Pointers are invited; call the Roton Point to make reservations. This yearâ€™s event will also mark the first presentation of the Peggy Moseley Award, in memory of longtime Roton Pointer Peggy Moseley. ErnieÂ  LaRocca reviewed the revitalized Junior Sailing program; there were 4 new instructors, and 41 kids participated, and we sent 8 sailors to regattas; we hope to build on this momentum in the coming years.</h2>
<h3></h3>
<h3><strong>Social:</strong></h3>
<p>Ernie LaRocca reported. The summer social season was a good one, with many well-attended events. The Jimmy Buffett dinner/dance attracted 260 members and more guests, the 4<sup>th</sup> of July celebration was also well attended. Ernie noted that after 15 years of running the Labor Day â€œFranks for the Memoriesâ€ event, Lisa Keyworth and Laura Oâ€™Brien are stepping down, and if anyone would like to take over that event, please let Ernie know. There was a hearty round of applause for Lisa and Laura.</p>
<p>&nbsp;</p>
<h3><strong>Tennis: </strong></h3>
<p>Ernie LaRocca reported. It was a very good tennis season, with team triumphs and record participation. This summer, the kids schedule was adjusted to allow kids to participate in other activities (swimming, sailing) in addition to tennis, and that worked out well.</p>

<p><strong>8.Â Â Â Â Â Â Â Â  New Business</strong></p>
<p>Member Chip Romans made a motion that the Membership Committee should create a new classification of membership called â€œJunior Members,â€ limited to young adult children (between ages 24 and 30) of unit owners in good standing who are not currently leasing out their unit. As he described it, these young adults would have full access to all membership privileges, with the exception of voting, and the Board of Directors would decide the fee for such membership. The motion was seconded, but under discussion, it became evident that this motion could not be voted on at this time. Unlike other clubs that offer some sort of junior memberships, we are a condominium association and need to abide by condominium law. This could require a member notice and comment period. Still, Caroline Robinson agreed that this idea would be pursued, and the floor was opened to comments; she also noted that this idea has been surfaced before within the membership committee and will be discussed further in light of the current proposal. Several members asked questions that would need to be considered: (1) How many potential junior members are we talking about (this could be determined in part by reviewing member profiles), (2) What about young adult children who are themselves married, both with and without kids? (3) Is there a way to test the waters on this? Charlie Janson noted that the membership committee can make a recommendation to the board, and that the final decision would need to be made at the board level.</p>

<p>2005 Project Review:</p>
<p>Rob updated the committee on the following projects:</p>
<p>â€¢	Snack bar work is seventy-five percent done. New ansul system for hood was installed. Countertops are being fabricated. Still looking for an awning contractor, Deb Douglas will give Rob another name to call for an estimate.</p>
<p>â€¢	Steel has been installed on the dock. Decking is almost completed. Still waiting on pilings to be replaced.</p>
<p>â€¢	Bathhouse siding repair will come close to budget or a little over budget because of additional rot to structural members that had to be replaced. Additional siding had to be re-ordered because the snack bar renovation used approximately 140â€™ linear feet.</p>
<p>â€¢	Mako rehab is going well and on schedule.</p>
<p>â€¢	Spring cleaning is in progress, tree pruning is complete. Tennis courts have been done and expect to be open toward the end of April.</p>
<p>â€¢	Rob is still waiting for Grove driveway estimate. Two have been received, one is over our budget and one is currently under. We hope to have this done by mid May.</p>
<p>â€¢	Driveway repairs are being made, extensive repairs to the drainage gate valve for the parking lot have been made along with replacing three storm drains in the parking lot.</p>
<p>â€¢	Stone for the west jetty project was brought in from the Juterbock project next door. We will not have to pay for the stone, only excavator time to place the stone and hauling fees. At this time we have taken seven truck loads which is much more than we originally anticipated.</p>
<p>Old Business:</p>
<p>â€¢	Rob informed the committee of some issues with the Armstrong construction project. Use of Wharf Rd has been denied to the Armstrongâ€™s until an agreement can be worked out.<br />
â€¢	The Juterbock construction project has been going well. Rob stated he is kept up to date on daily activities.<br />
â€¢	The committee also discussed the Juterbock construction project and access to Wharf Rd. The committee still feels that a bond should be requested as additional protection should something major occur concerning Wharf Rd.</p>
<p>Meeting was adjourned at 8:30 p.m. Next meeting will be Tuesday, May 17th.<br />

<p>2005 Project Review:</p>
<p>Rob updated the committee on the following projects:</p>
<p>â€¢	Snack bar work has begun, new counters, new wall paneling for easier cleaning will be installed, an upgraded Ansul fire suppression system will be added. New exterior windows to match existing windows in the rest of the bathhouse are also being installed to protect against the weather.</p>
<p>â€¢	Steel has been ordered for the dock. When it arrives we will schedule the barge to install two new pilings, remove the existing dock, install the steel and add new decking.</p>
<p>â€¢	Bathhouse siding is here and ready to be installed.</p>
<p>â€¢	Mako rehab is going well. New equipment such as the bimini top has been ordered.</p>
<p>â€¢	Fencing quotes have come in for Wharf Rd and the Gate area of Sunset Rock. The eight foot high gates will be replaced at a cost of $2300.00. A discussion followed concerning the height of the Wharf Rd fence. Two options are available in height. Should the four foot fence be replaced or should it be replaced with a six foot high fence to deter outsiders from gaining access to the club grounds. Nothing was decided at this time because of the questions surrounding the McNulty house and their intentions with the right of way to Wharf Rd. We will be also replacing about half of the grove fencing this year due to deterioration with the balance to be done next season.</p>
<p>Old Business:</p>
<p>â€¢	Rob has found a contractor to refinish the stairs in the hotel leading to the conference room area. That will be scheduled when the weather turns warmer.<br />
â€¢<br />
â€¢	Sunset Rock was discussed at length. It is the committeeâ€™s feeling that too many questions remain concerning the McNulty property at this time. New gates will be installed for security purposes, but no other work is currently planned. Since allowing Mr. Juterbock access to Wharf Rd for construction purposes which may continue through the summer it was best thought to keep general membership access out of that area for now.<br />
â€¢	The committee also discussed the Juterbock construction project and access to Wharf Rd. The committee still feels that a bond should be requested as additional protection should something major occur concerning Wharf Rd.</p>

<p>2005 Project Review:</p>
<p>Rob updated the committee on the following projects:</p>
<p>â€¢	A contractor has been selected to replace the pilings for the dock, along with a contractor from Stamford for manufacture the steel I-beams for the dock. We will coordinate so the barge with the crane can place the I beams at the same time as<br />
the pilings are done.</p>
<p>â€¢	The snack bar design drawings were completed. It was decided to only extend the water side counter and leave the larger counter in the same place. Because no structural repairs will be made, and mostly all repairs are cosmetic in nature, the building department has classified this as a general maintenance and repair and no building permit will be needed.</p>
<p>â€¢	The committee decided not to have carpet installed on the interior hotel stairs. Rob will get a price on refinishing the stairs instead.</p>
<p>â€¢	The siding on the water side of the bathhouse has been milled and is being primed at this time.</p>
<p>Old Business:</p>
<p>â€¢	Rob reported that Jeff Shapiro from Parma Market has signed a contract for the 2005 season. It only now has to be signed by Rob and Bob Sava.<br />
â€¢<br />
â€¢	Wharf Rd was discussed again and and Rob mentioned that the Jeanne Kay home plans were out and the bidding had started on some of the project. No plans have been submitted to the building department yet to his knowledge.</p>
<p>New Business:</p>
<p>â€¢	A wedding was approved for Saturday May 14, 2005 for the hotel porch to John Early who is renting unit # 191 for the year.</p>
<p>â€¢	The increase in the fireworks request from the Rowayton Civic Association was discussed. The committee felt that the cost is getting rather large and any more increase requests should be scrutinized in depth.</p>
<p>Meeting was adjourned at 8:35 p.m. Next meeting will be Tuesday, March 15th.<br />
